File Sharing Conflicts

Background:
I am a small business that registers people for educational classes.
I have two assistants, virtual
I use MS Excel and MS Access to track the registrations.
One of my assistants signed us up for Rackspace.com
It seemed to be the PERFECT solution for us virtual users until the "conflicts" started.
I have since found out from Rackspace that they (and Jungle Workgroup) aren't really suited for virtual work of documents or files that change a lot.
Registrations change a lot!
I take them, my assistants take them, people cancel or substitute another person - LOTS OF CHANGES.

Question:
Does anyone know of a system that will work for file sharing, storage and backup for a small company like mine that does not have all the "conflicts" that rackspace has?
